What is Insightly?
What do you like best about Insightly CRM?
a) INTEGRATIONS – The main reason that I subscribed to Insightly was its ability to integrate with Quickbooks. This has eliminated copying errors as well as improved our workflow. I also integrate with Mailchimp.
b) WORKFLOWS – Since I am often on the road and taking phone calls, it is great to be able to send emails automatically based on criteria that I have set up as well as set-up tasks. The emails that I send make me look like a genius.
I love the ease and user-friendly options that this CRM provides. Not all CRM’s are made the same and most can be a bit tricky to navigate but Insightly has taken the guesswork out of completing tasks and has saved us so much time and effort.
Reports and charts are a quick-go to get an idea for the complete activity in the process.
The email feature is the best to be sent within by a single click and the history gets saved for future records.
Bulk editing while using big data is the most useful addition to the tool.
The pipeline stage gets the team on track.
I like Insightly because it allows me to save activity sets for recurring groups of tasks that are required for various types of projects.
It works well as a central repository for customer data that all internal teams can access.
I personally didn’t use many of the other custom reporting and capabilities that Insightly offers, which is great because our business has grown alongside our use of the service.
What do you dislike about Insightly CRM?
a) OVERKILL FOR MY NEEDS – My clients are one-offs. We run an equipment rental company and provide assistance after eye surgery. As a result, there are so many parts of Insightly that I do not use. Because we are emergency-based, leads and ongoing marketing are not needed. Something much more simplified would be better.
b) WORKFLOWS – For the most part, I love the workflows. It did take me some time to figure out how to set them up. I’ve also had trouble triggering updates to the workflows when a date changes which means I have to manually delete a rental (PROJECT) and then re-create it. I am losing time trying to figure this out.
While there is not much to dislike, I am not a big fan of the email feature. It leaves a little to be desired in the ways of options when sending bulk emails and what types of attachments can be included.
Admin access is limited only to the registered account and can not be shared with sub-admins.
I suggest there should be an option to add 2 or 3 sub-accounts to complete the initial processing rather than to keep the things on hold burdening the single admin to process.
More space for homework.
The width of a column that I adjust in the “Relate or Activity” tabs so that, for example, I can see the full title, doesn’t stay that way when I go back to that view later. Each time, I must change the size.
What problems is Insightly CRM solving and how is that benefiting you?
a) SCHEDULING – Insightly is helping me manage the delivery and pickup dates of our rental equipment.
b) ERROR REDUCTION – To reiterate, integration with Quickbooks is the greatest benefit. There is no other CRM out there that provides this option.
The Insightly CRM is taking the mundane and lengthy tasks that usually plague administrative assistants away and making it to where time can be freed up to pursue other parts of the business. Also being able to keep all of our business info, clients, emails,calendars, etc in one place makes it easy for everyone on the team to stay on the same page.
Complete data is comprised in one place. The rotation of the task within the organization is to get the solutions in time.
It assists to add more than one opportunity and task to a single lead, which helps to gather the scattered information.
The data is on-board with a complete history saved.

Insightly may focus on the basics of a CRM, but it has a couple of unique features that you may not see in other CRM tools. You can use your mobile phone to snap a photo of a business card and the Insightly mobile app will automatically generate a lead within the software for you (you’re limited to 15, 25 or 50 per user, per month, depending on the paid plan you’re using).
Many CRM apps today offer automatic dialers or telephony integrations, so you can make calls directly from your CRM—simply press the call button on a contact or lead record and call from your computer or mobile phone. Insightly offers this feature of a built-in dialer, known as Insightly Voice. It’s a great timesaver and includes the option to record calls or route calls to reps. However, it isn’t included in any plan—you have to pay $35 per user, per month (paid annually).
